Directors and owners.
nine questions
What does it cost?
Most systems we build cost between €10,000 and €40,000, one-off. Support is about 3 to 5% of that, per month. After the prototype you get a fixed price, before you sign anything.
Why do the process map and prototype come with no obligation?
Because we want to know first that we are building the right thing. You see what it will be; we see whether we are the right partner. Only then do we talk about money.
What if we do not like the prototype?
Then we stop there, or we change it. You are not committed to anything, and you keep the process map.
Are we tied to you afterwards?
No. Source code, data and documentation are yours. You can carry on yourselves or with another team.
Why not an off-the-shelf package?
If a package fits, use it. We will tell you so. We build where it does not fit, or alongside the package for the part that is missing.
Can we start small?
Yes. The first phase is the foundation with one solution, for the process that matters most. The rest can follow later, on the same foundation.
You are not a large agency. Is that a risk?
The people who build it are at the table in every round, with no layer in between. And because the code and documentation are yours, continuity does not depend on us.
How long does it take?
We set that after the prototype, per phase. We do not give a timeframe before then.
What will it deliver?
We tell you what we expect, and after go-live we measure what it actually does. No percentages up front.
Operations.
seven questions
Do we have to change the way we work?
No. We start from how the work runs today. The people who use it review it with us during the build.
How much of our time does it take?
One owner who makes the decisions, and a few users who review and test during the build. We agree the exact amount per project.
Does it work on the shop floor?
On phone and tablet, including for external staff. If it needs to work offline or with large buttons, we agree that before the build starts.
What if the system goes down?
The work carries on. There is always an up-to-date PDF of all active records, and we pick up any outage within the hour.
We have had software before that nobody used.
That is why we build it with the people who use it. By the time it goes live, they already know it.
Will AI take over our work?
The system proposes, you approve. It takes over the retyping and checking, not the decision.
Who trains our people?
We do, during the roll-out. After that there is documentation in your own words.
IT.
eight questions
Where is it hosted?
In the EU, encrypted: EU hosting with ISO 27001-certified partners.
What technology do you use?
Mainstream, open technology that any experienced team can take over. No proprietary platform that locks you in.
Do we get the code?
Yes, after every phase, in your own repository, with documentation. An escrow arrangement is not needed: the code is already yours.
Does it connect to our ERP and Microsoft?
Yes. Users sign in with their own Microsoft account and MFA. We set out in the proposal which ERP and file integrations are included.
What about security and NIS2?
Roles and permissions, a log that cannot be altered, hourly back-ups and a restore tested every quarter. We report a data breach within 24 hours.
What happens to our data with AI?
We only use models covered by a data processing agreement. Your data does not train models, and it stays in the EU.
What if a better AI model comes along?
Then we test it on your test set. If it is better, or cheaper for the same result, we propose the switch. As part of support.
Who maintains it?
We do, under an SLA. Or you do: the documentation is written for that.
Procurement and legal.
four questions
Who owns the software?
You do. The rights transfer per phase, once that phase is paid. No licence.
What is in the contract?
The agreement, the scope with numbered functions, the SLA and the data processing agreement.
What if the scope changes?
Then we agree it in advance, with a price. Never afterwards on the invoice.
What if there is a defect after delivery?
We fix it at no extra cost: for three months after acceptance of each phase, and after that for as long as we support it. A defect is anything that deviates from the agreed scope.
