What it often comes down to.
In the words of the people who do the work.
- 01
Pulling quality files together
With every delivery or handover, the client wants to see certificates, test reports and photos. You gather them by hand from folders and emails.
- 02
New machinery rules from 2027
From January 2027, every machine needs a complete technical file, and the manual may be digital. Most machine builders are not ready yet.
- 03
Registering every batch of scrap
Since May 2026, you have to report, weigh and record every batch of scrap digitally. That comes on top of the work you already had.
- 04
A recall takes days
After a complaint or recall, it takes days to work out which batch ended up where.
What it does.
The system proposes. A person decides.
- Recorded at receipt, production and dispatch.
- Certificates and test reports for each batch or serial number.
- In a complaint or recall, the full picture at once.
- What the system does
- Gathers the certificates and reports for each delivery into a complete file.
- A person decides
- Quality decides on release and recalls.
What it looks like.
For every batch, see where it came from and where it went.

Where it applies.
In these sectors, and how it works there now.
| Sector and process | How it works now | What could be better |
|---|---|---|
| Construction & infrastructureWkb file and handover | Now: Photos, inspections and snagging items are gathered at the end for the quality assurer and the client. | What could be better: Recording evidence during the work, not searching phones, folders and email afterwards. |
| ManufacturingBill of materials and engineering change | Now: The EBOM from CAD is turned into an MBOM in the ERP by hand. Changes go by email. | What could be better: Bills of materials that are right, and open orders on the current revision. |
| ManufacturingQuality file per delivery | Now: 3.1 material certificates, inspection reports, FAI and welding records per order or serial number. | What could be better: The file for each delivery ready, without searching folders and email. |
| ManufacturingTechnical file and CE | Now: Risk assessment, technical file and manual per machine variant. | What could be better: The technical file kept up to date per variant, ready for the Machinery Regulation. |
| Installation & maintenanceHandover and as-builts | Now: As-built drawings, commissioning and inspection reports and the handover file, also for the Wkb. | What could be better: Handover and as-builts on time and complete, gathered during the work. |
| Trade & commoditiesFrom weighbridge to invoice | Now: Weighing in and out, grading, a price per grade, identification and registration. | What could be better: Fewer steps per lot, even as the rules get stricter. |
| Trade & commoditiesQuality claims | Now: Buyers claim for contamination or the wrong grade. | What could be better: Evidence per lot at hand: photos, weighing and grading. |
| Trade & commoditiesOrigin and due diligence | Now: Showing where each lot comes from. | What could be better: The evidence that EUDR, CBAM and sanctions require, ready per supplier. |
| Agri & foodTraceability and recall | Now: Lot and batch numbers are tracked from raw material to customer. | What could be better: Knowing quickly what is where during a recall. |
| Agri & foodAudits | Now: GlobalG.A.P., BRC, IFS and HACCP ask for evidence per lot and per period. | What could be better: Gathering evidence during the work, not for the audit. |
